1. Who we are
ZeltrivoAI ("we", "us", "our") is the provider of the ZeltrivoAI mobile app and website. We provide AI-powered tools for estate agents. Our contact email is support@zeltrivoai.com.
2. What data we collect
We collect the following data when you use ZeltrivoAI: • Account data: your email address and password (hashed, never stored in plain text). • Profile data: your full name, agency name, and phone number — provided by you in the app. • Usage data: AI responses you generate, including Auto-Replies, Listings, and Viewing Confirmations. • Viewing data: appointments you add to the calendar (buyer name, property address, date and time). • Analytics data: aggregated counts of leads replied to and responses generated per day. • Technical data: standard server logs including IP address and device type.
3. How we use your data
We use your data to: • Provide and improve the ZeltrivoAI service. • Personalise AI-generated responses with your profile details. • Display your activity history and analytics. • Communicate with you about your account or the service. • Administer your subscription and billing. We do not sell your data to third parties. We do not use your data for advertising.
4. Platform operator access to user content
ZeltrivoAI is operated by a small team. Authorised platform administrators may access your account data and AI-generated content — including response history, usage records, and profile details — for the following limited purposes: • Customer support: to help diagnose and resolve issues you report. • Abuse and fraud prevention: to detect misuse of the platform. • Compliance: to ensure adherence to our Terms of Service and applicable law. • Platform improvement: to understand how features are being used at an aggregate level. This access is governed by internal access controls. Administrators cannot see your password (which is hashed and never stored in plain text). This processing is carried out on the basis of legitimate interests under UK GDPR Article 6(1)(f). 5. Data storage and security
All data is stored securely using industry-standard cloud infrastructure with encryption at rest and in transit. Row-level security policies ensure that individual users can only access their own data through the application interface. Authentication uses bcrypt hashing — your password is never stored in plain text.
6. AI processing
AI responses are generated using a third-party AI API (Anthropic). When you use an AI feature, a prompt containing your profile name, agency, and phone number is sent to our AI provider so the response can be personalised. No personally identifiable data beyond what is needed for personalisation is transmitted. The AI provider processes this data solely to fulfil the request and does not use it to train models.
7. Your rights
Under UK GDPR and the Data Protection Act 2018, you have the right to: • Access the personal data we hold about you. • Correct any inaccurate data. • Delete your account and all associated data at any time (via Menu → Account → Delete Account in the app). • Object to or restrict certain types of processing, including the legitimate-interest processing described in section 4. • Data portability — request a copy of your data in a machine-readable format.
